Bulk Upload — turn many files into publications at once

Upload several PDFs, Word documents or PowerPoint files in one go. Each file becomes its own publication, converted in the background, ready for you to title and publish.

Bulk Upload

If you have a back catalogue to get online — a run of past issues, a shelf of reports, a term's worth of course packs — you don't have to create each publication by hand. Bulk Upload takes a whole set of files at once and makes one publication from each.

Uploading a batch

  1. Go to Publications in the sidebar

  1. Click Bulk Upload

  1. In the Bulk PDF Upload window, click Select files and choose as many

files as you like (hold Shift or Cmd/Ctrl to pick several)

  1. Confirm the upload

Each file is uploaded and queued for conversion, and the window shows progress file by file. You can close the window once the uploads have finished — the conversions carry on in the background, and the Publications list shows each one's status as it completes.

What you can upload

Bulk Upload accepts the same file types as a single upload:

Type

Extensions

PDF

.pdf

Word

.doc, .docx

PowerPoint

.ppt, .pptx

PDFs go straight to conversion. Word and PowerPoint files are converted to PDF first, which takes a little longer and can shift your layout slightly — if the exact look matters, export to PDF yourself and upload that. See PDF Requirements for what converts well.

What you get

Each file becomes a draft publication:

  • The title comes from the filename, with the extension dropped and

underscores and hyphens turned into spaces: Spring-2026-Catalogue.pdf becomes Spring 2026 Catalogue. Name your files well before you upload and there is nothing to rename afterwards.

  • Nothing is published automatically. Drafts are visible only to signed-in

members of your organisation, so you can work through them at your own pace.

  • Viewer settings are left at your defaults. Set them per publication

afterwards, or ask the AI assistant in your dashboard to walk you through them.

When you're ready, publish them one at a time, or tick several in the Publications list and use the bulk actions to publish the lot.

Plan limits apply, and drafts count here

This is the one place where draft publications count against your plan's publication limit, so it's worth knowing before you start a batch.

Creating a publication one at a time doesn't count towards the limit — a single draft is only counted when you publish it. Bulk Upload is different: it checks your plan's publication limit before it creates anything, and that check counts every publication in the organisation, drafts included.

What that means in practice:

  • If you are already at your plan's limit, the whole batch is refused and

nothing is created. You'll see a message naming the limit and your plan, with a link to upgrade. If the batch seems to do nothing at all, this is almost always why — close the Bulk PDF Upload window and look for the message behind it.

  • If you are under the limit, every file you selected is created, even if

that takes the organisation past the limit. Bulk Upload doesn't stop part-way through or trim the batch to fit.

So check your headroom first, in Settings → Billing or in Plans & Pricing. Your plan's per-file size limit and page limit apply to each file in the batch exactly as they do to a single upload.

If a file fails

The results list names each file and what happened to it. A file can fail on its own without affecting the rest of the batch — common reasons are a password-protected or corrupt PDF, a file over your plan's size limit, or a page count over your plan's limit.

Fix the file and upload just that one again. There's no need to repeat the whole batch. Conversion Issues covers the specific failures and what to do about each.
